Ask any professional what messages he spends most of his time on the computer writing and responding to. They will probably tell you that they are writing an email, a memo, or a letter to request information or action and respond to them with answers or thanks. To write these types of documents, you may need to polish your style, grammar, and organization to meet a professional standard. After all, the quality of the answers you can get or give is critically dependent on the quality of the questions you ask or are asked. Before we look at each type of document in detail, let’s take a moment to watch a video that introduces routine business correspondence.

Responses to such communications include either a quick and concise thank you message (see section 28) or continuing the conversation if it is part of an ongoing project, initiative or conversation. Remember to change the subject line as it develops (see Box 17). Sharing information with a large group, such as a department memo for 60 employees, usually does not require confirmation and will be slightly more formal in tone. If everyone wrote to the sender just to say thank you, the flood of reply notifications would frustrate them as they try to get on with their work, sorting out valuable information replies from simple acknowledgements. Managers, clients and colleagues send and receive requests for information and actions throughout the day. Because they give the recipient instructions about what to do, the information returned or the actions that result from such requests may be as good as the instructions given. Thus, such messages should be well organized and clear about expectations, starting directly with a well-articulated general request (see section 11 on direct approach reports) – unless you expect resistance to the request (see section 11 on direct approach reports). indirect approach) – and continue with basic and more detailed instructions as necessary, as we see in figure 24.2 below.
Note that because you expect a request to be followed by an action, not a yes or no answer, the opening question does not need a question mark. However, never forget the importance of the word “please” when asking someone to do something (see section 13 for more on using polite language). Note that the lists in the body of the message help provide many details so that request messages are easier to read (see Module 14). All efforts made by the author of the above message to provide an easy-to-read message will pay off if the recipient performs the requested procedure exactly in accordance with these clearly stated expectations.
How To Send Your Own Emails?
Effective organization and style are essential in calls to action that contain detailed instructions. Whether you are explaining how to use the equipment, applying for financing, renewing a membership, or sending a payment, the success of the recipient depends on the quality of the instruction. Ambiguity and lack of detail can lead to confusion, mistakes and requests for clarification. Too much detail can lead to frustration, ignorance, and possible loss of important information. Profiling your audience and measuring their level of knowledge is very important (see section 5 for analyzing your audience) to provide the right level of detail for your desired results.
